A multi-day private birthday and anniversary celebration near Barcelona, bringing together an international group of guests for a full weekend of parties, food, music and poolside events.

I managed the project from initial concept through to guest departure, covering event planning, guest management, digital communications, accommodation, supplier coordination, creative and on-site production.

• Event Planning & Production

  • Developed the event concept, venue, programme and production schedule.

  • Managed budgets, suppliers, logistics, set-up and on-site delivery.

  • Coordinated catering, bar, DJ, sound, furniture, florals, décor and event staff.

• Guest Website & RSVP Management

  • Designed and built a dedicated event website for guests.

  • Created one central place for event information, timings and weekend updates.

  • Built an online RSVP system to manage attendance across the different events.

  • Integrated accommodation information and room booking so guests could select and book their rooms directly.

  • Managed guest lists, room allocations, dietary requirements and communications.

• Accommodation & Guest Logistics

  • Coordinated guests across three accommodation locations.

  • Managed arrivals, rooming, transport information and check-in instructions.

  • Created clear pre-event communications so guests had everything they needed before travelling.

• Creative Direction

  • Developed a bold 90s/00s-inspired event identity.

  • Carried the visual concept across the website, guest communications, signage, table plan and styling.

  • Combined elegant details with playful elements including disco balls, glow sticks, disposable cameras and nostalgic drinks.

• On-Site Event Management

  • Managed suppliers, crew and event timings throughout the weekend.

  • Oversaw set-up and event flow across the house, gardens, terrace and pool areas.

  • Handled live changes behind the scenes so the hosts could enjoy the weekend with their guests.

The result was a highly personal destination event with a complete guest experience before, during and after arrival — supported by detailed planning and production behind the scenes.
